The original books of entry if maintained accurately form a basis on which financial statements – the statement of income, statement of financial position, statement of cash flow – are prepared. The statement of income summarizes all the income and expenses for the period. The income is compared with the expenses and the net is either the profit or loss for the period. The statement of financial position shows the assets, liabilities and equity – what the business owns, what it owes and the owners interest in the business. The statement of cash flow shows how the business has generated or used cash in sales and expenses for the period that is being looked at. Fortunately, there are many software that can be used to keep a record of all the business undertakings which a subject for another day.
Before obtaining the summaries necessary for the preparation of the statements, there are many activities that are carried out on a day-to-day basis. For instance, when a sale is concluded an order may have been received and fulfilled. Order document from clients should be recorded and executed through approval by a responsible official. The issue of the goods should be ideally handled by an independent person from the one who received the order papers. After this invoices and delivery notes are prepared by an accounting officer and passed on if possible to another accounting officer for input into the accounting system. Similarly, all purchases and expenses are first approved and authorized before the orders to the suppliers are sent or payments made. Once the bills from suppliers or cash receipts for expenses are received, they are entered into the system.

How do you pinpoint which areas of the conversion process need improvement? You could guess and implement broad strategies but they won’t be as effective as addressing specific issues. Mapping your buying process helps you to define specific steps that you can follow. You can also then create statistics to check how you are performing in each step of the buying process. How else will you know what to improve on unless you can first figure out where you are going wrong?
What to Map in Your Buying Process
A buying process may seem fairly straight forward, but by analysing each step of the process you can see where your strong points and where your weak points are. Start out by writing down each step. For example: How many enquiries do you get in? What products or services get the most or least enquiries? How many of those enquiries convert to sales? For each step write down figures or percentages as this will help you quantify the results you are getting. The results are often surprising. You may initially think that you need to get in more enquiries. However, the statistics may show that you have enough enquiries. You are just not converting enough of them to sales. So instead of focusing your efforts on sourcing more leads, you can instead concentrate on improving your conversion rate. By focusing your efforts you can implement strategies and see a faster turnaround in your conversions. You can often make small changes that don’t require a lot of money and see a big improvement in the results you get. This is the value that mapping your buying process provides.
